Adding/Editing Notes for Names and Matters

  1. Open the Note Editor or Note Timer.

  2. If necessary, click the Timer button () to start the Timer.

  3. Complete the settings on the window for the note.

    1. Date: The date of the note. The date is automatically set to today's date, but you can click the lookup button to open the popup calendar to select a different date.

    2. at: The time of the note. To change, edit the field directly.

    3. Hours: The duration of the tasks related to the note. This field has a Timer button. Click the button to use the Timer for the note.

    4. Name: The selected name. To change, click the lookup button and select another name.

    5. Type: [field to the right of Name] The type of note. Click the lookup button. The Valid NOTETYPE Entries window appears. Highlight a type code that describes this note (or you can add a code on the fly) and click Done.

      TIP: If you design a system for classifying notes with the Type field, you will be able to make great use of them later. Perhaps you will want to see a report of all the phone conversations you had for a client. Or, maybe you need to know who spoke with a client on a certain day and what was said. You can easily generate these and many other reports by using the Type field for notes wisely.

    6. Phone: [optional] A phone number related to the note. Notice that when you select a name, the phone number for the name appears in the Phone box. Additional numbers for the name will be listed in the drop-down list. Select the appropriate number for the call.

    7. By: Your operator name. This field is completed for you.

    8. Matter: The selected matter. To change, click the lookup button and select another matter.

    9. Call Results: [only applicable for the Note Timer] If this is a note about a communication, select the nature of the communication (Spoke to, Left Message, No Answer, etc.).

    10. Note [yellow box]: Contains the text for the note. Add or edit the text as necessary. Click here for tips on entering notes. While editing a note's text, you can press Shift+F5 to insert today's date, or Ctrl+F5 to insert the date and current time. Press F5 to expand short abbreviations to full text. See Text Macros for details. Click the Spell Check button to spell check the note as necessary.

    11. Private: If you have selected to show the Private check box in the Note Editor configuration, you can check Private so that the note will only be seen by the operator that created it. Click here for more information about controlling privacy.

  4. At this point, do any of the following:

    1. Click Bill to open Abacus Accounting to enter a time ticket for the call.

    2. To print the current note, click Print. The Select an Option window appears. Click Current.

    3. Click Remind to create a reminder to call this person back. The New Event window appears where you can add a callback reminder event.

  5. Click Done to save the note.
